Privacy Policy

1. The short version

Airbrush by Kolors is Ruben's airbrush and mural business in Fort Worth, Texas. This policy covers what we collect when you visit www.airbrushbykolors.com, ask for a quote, chat with us on the site, call, text or email, or use the customer portal.

We collect what we need to quote your piece, paint it and get it to you. We don't sell your information, and we don't use it for advertising.

2. What we collect

• Contact details: your name, email address, phone number, and the address of the job or where a finished piece should be sent.
• Your project: what you want painted, its size, your design idea, your deadline, and the photos you send us, such as reference images, a photo of the wall, or the helmet, bike or item to be painted.
• Quotes and payments: quotes, invoices, deposits and payment status. If you pay by card online, the card is handled by the payment processor; we never see or store your full card number.
• Messages: emails, texts, messages sent through the customer portal, and conversations with the chat on our website. Messages about a job are kept with that job so the full history is in one place.
• Phone calls: calls to our business line may be recorded and transcribed, with notes of what was discussed. See section 4.
• Website and account data: basic visit statistics, and the login and preferences for your portal account.

3. How we use it

• To quote your job, plan it, paint it, and deliver or install it
• To send you sketches, progress photos, invoices and updates
• To answer your questions by phone, text, email or chat
• To keep an accurate record of what was agreed, for you and for us
• To prevent fraud and protect our customers and business
• To meet tax and accounting obligations

We may occasionally email past customers about our work. Every one of those emails lets you opt out, and opting out doesn't affect messages about a job you've booked.

4. Chat, phone, texts and AI assistance

• Website chat: the chat on our site is an automated AI assistant. It helps you describe your piece and passes the details to Ruben. It can't set a price; Ruben quotes every job himself.
• Phone calls: calls to and from our business line may be recorded and transcribed so the details of your job are right. Some calls may be answered by an automated assistant that takes a message for Ruben. You can always ask to speak with him.
• Text messages: if you text us or give us your mobile number, we may text you about your job. Reply STOP at any time to stop texts. Message and data rates may apply.
• AI tools: we use AI services to answer chat and phone questions, transcribe calls, sort email and organize job details. These providers process your information only to do that work for us.
• If your AI assistant contacts us: you can have an AI assistant describe your piece to us on your behalf. We receive whatever it sends us, and we confirm with you directly. You approve every quote and make every payment yourself.

5. Who we share it with

Only the services that help us run the business, and only what each one needs to do its job:

• Payment processor: if you pay by card online, the processor (such as Stripe) handles the payment under its own privacy policy. See Stripe's Privacy Policy.
• Shipping: if we ship your piece, the carrier and our shipping-label service receive your name and address to deliver it.
• Communications: our phone and text provider, Google (Gmail, and Google Drive for job photos), and our email delivery provider.
• AI and speech services: used as described in section 4.
• Hosting and security: the companies that host our website, database and file storage, and protect the site from abuse.
• Legal requirements: if the law requires it, or to protect our customers or business from fraud.

We don't sell, rent or trade your personal information, and we don't share it for anyone else's marketing.

6. Your photos and your finished piece

The reference images and photos you send are used for your job only. We don't post them.

Ruben may share photos of the finished work in his portfolio and on social media. If you'd rather your piece isn't shown, tell us and it won't be. Faces, license plates and the inside of your home are only shown with your permission.

7. Where it's kept

We're in the United States and our systems are hosted here. Some of our service providers may process information in other countries under their own safeguards.

8. How long we keep it

We keep job history, messages, photos and call records while they're useful for your job, for touch-ups and repeat work, and for resolving any disagreement. Financial records are kept as long as tax law requires. You can ask us to delete your information at any time (see section 11); we may keep records the law requires us to keep.

9. Security

We use encrypted connections (HTTPS), secured logins for the customer portal, and limit who can see customer records. No system is perfectly secure, but we take care of your information, and we'll tell you promptly if a problem affects you.

10. Cookies

We use cookies to keep you signed in to the customer portal, remember your preferences, and protect the site from abuse. We don't use advertising or cross-site tracking cookies. If you block cookies, the portal may not work properly.

11. Your choices

You can ask to see, correct or delete the personal information we hold about you, or ask us to stop contacting you. Email or call us using the details below and we'll take care of it. Depending on where you live, you may have more rights under local law, and we honor those requests too.

12. Children

Our services are for adults. We don't knowingly collect information from children under 13. If you believe we have, contact us and we'll delete it.

13. Changes to this policy

When the way we work changes, this policy changes with it. Updates are posted here with a new date at the top.
